C&B Operations Specialist

JOB DESCRIPTION

Role Summary/Mission:
As a member of the HR department, you will contribute to a stable and supportive work environment by accurately and efficiently executing operational tasks related to employee compensation & benefits, HR administration, and compliance (payroll coordination, social insurance/tax procedures, labor management, onboarding/offboarding support, etc.). You will ensure thorough compliance with laws and regulations, supporting employee well-being and the organization's stable growth.
Key Responsibilities:
C&B Operations:
Handle procedures for social insurance, health insurance and unemployment insurance.
Arrange annual health checks for employees and process renewals for related insurances (including staff benefits and company property).
Manage and execute the payroll calculation process (or coordinate closely with external vendors ensuring data accuracy).
Prepare and manage new/renewal labor contracts, related documents, and maintain accurate employee data/HR filing.
Execute exit procedures properly.
Tax Compliance:
Handle Personal Income Tax (PIT) code registration for employees and their dependents.
Prepare and submit monthly and annual PIT declarations (including for expatriates) and report to the Tax Department.
HR Administration & Support:
Coordinate onboarding and offboarding logistics (e.g., workspace readiness coordination, access cards, IT liaison for setup).
Handle basic employee inquiries related to HR administrative procedures and office policies.
Assist in coordinating logistics for HR-related meetings and events
Manage HR-related document filing and maintain organized records (physical and digital).
Provide administrative support for HR-specific vendor coordination (e.g., health check providers).
Prepare necessary HR-related monthly reports.
Perform other ad-hoc administrative and operational tasks as directed by the HR Lead.
Manage the consumption and purchase of office equipment and stationery for the office.
Arrange air tickets, cars, and hotels for the Director and staff when on business trips.
Manage the arrangement of furniture in the office and make payment requests for administration fees.

JOB REQUIREMENT

Required Qualifications:
Education: Bachelor's degree or higher.
Experience: Minimum 2 years of practical experience in C&B operations, payroll, or similar HR admin roles within Vietnam.
Knowledge: Good understanding and practical knowledge of Vietnamese Labor Law, Social Insurance system, and Personal Income Tax regulations. Basic knowledge of general office administrative procedures.
Skills:
Excellent interpersonal skills, basic analytical skills, and strong communication skills (Vietnamese: Native; English: Professional working proficiency).
Strong attention to detail and accuracy in work execution.
Ability to work effectively under pressure and manage multiple tasks.
Proficient PC skills (MS Office / Google Workspace, especially intermediate or higher Excel skills are required).
Preferred Qualifications:
Experience working in the IT industry or a fast-growing company.
Experience working in a Japanese company environment.
Experience using HRIS (Human Resources Information Systems) or specific payroll software.
Practical experience with PIT declaration for expatriates.
Experience handling basic office administration tasks in addition to HR/C&B duties.
