C&B Specialist

Manage procedures for social insurance, health insurance, and unemployment insurance.

Arrange annual health check-ups for employees and handle insurance renewals (including staff benefits and company property).

Oversee the payroll calculation process, ensuring accuracy or coordinating with external vendors.

Prepare and manage new and renewal labor contracts, employee records, and HR documentation.

Execute exit procedures smoothly and ensure compliance with offboarding protocols.

Handle Personal Income Tax (PIT) code registration for employees and their dependents.

Prepare and submit monthly and annual PIT declarations, including expatriate tax reports to the Tax Department.

Coordinate onboarding and offboarding logistics, ensuring smooth employee transitions (workspace readiness, access cards, IT setup).

Address employee inquiries regarding HR administrative procedures and office policies.

Support the organization of HR-related meetings and events, including logistics coordination.

Maintain HR records and documentation, ensuring both physical and digital files are well-organized.

Provide administrative assistance in HR-related vendor coordination (e.g., health check providers).

Prepare monthly HR reports and track key metrics.

Execute various ad-hoc administrative tasks as assigned by the HR Lead.

Manage the procurement and inventory of office equipment and stationery.

Coordinate travel arrangements (air tickets, transportation, and accommodation) for the Director and staff on business trips.

Oversee office furniture arrangements and ensure smooth administration fee processing.

Handle any additional responsibilities assigned by superiors.

Education: Bachelor's degree or higher.

Experience: Minimum 2 years of practical experience in C&B operations, payroll, or similar HR admin roles within Vietnam.

Knowledge: Good understanding and practical knowledge of Vietnamese Labor Law, Social Insurance system, and Personal Income Tax regulations. Basic knowledge of general office administrative procedures.

Skills:

Excellent interpersonal skills, basic analytical skills, and strong communication skills (Vietnamese: Native; English: Professional working proficiency).

Strong attention to detail and accuracy in work execution.

Ability to work effectively under pressure and manage multiple tasks.

Proficient PC skills (MS Office / Google Workspace, especially intermediate or higher Excel skills are required).

Experience working in the IT industry or a fast-growing company.

Experience working in a Japanese company environment.

Experience using HRIS (Human Resources Information Systems) or specific payroll software.

Practical experience with PIT declaration for expatriates.

Experience handling basic office administration tasks in addition to HR/C&B duties.
